Tradewinds Plaza AOAO (“Tradewinds Plaza,” “we,” “us,” or “our”) respects the privacy of residents, guests, owners, agents, emergency contacts, and other people who use twpwaikiki.com (the “Site”). This Privacy Policy explains what information the Site collects, how we use and share it, and the choices available to you.

This Site is an operational registration and parking-access service for Tradewinds Plaza. It is not an advertising network, social network, or payment service.

1. Information we collect

Registration and contact information

Depending on the type of registration, we may collect:

your name, email address, and telephone number;

your relationship to Tradewinds Plaza, such as resident, short-term guest, owner, or authorized agent;

unit number and registration status;

arrival and departure dates, move-in information, or an owner/agent authorization period;

your emergency contact’s name and contact information; and

your confirmation that submitted information is accurate and that applicable building rules are accepted.

Parking and garage-access information

If parking is requested, we may collect and process:

whether a vehicle will park on the property;

license plate number and approved parking dates;

a unique garage QR credential associated with the registration;

garage-access validation results, including allow or deny decisions, reason codes, reader-device identifiers, timestamps, and references to the associated registration or credential; and

a protected or hashed form of certain technical identifiers used for security and troubleshooting.

We do not request a driver’s-license number, Social Security number, payment-card number, bank information, or a website password through the registration form. Please do not submit those items.

Emergency-readiness information

Resident registration may ask whether a person may need mobility assistance during an evacuation or may have difficulty hearing a fire alarm. We use these responses only for legitimate building-safety, emergency-planning, and emergency-response purposes. Access should be limited to authorized building personnel and, when appropriate, emergency responders.

Technical and preference information

Like most websites, the Site and its hosting environment may process IP address, browser and device information, timestamps, requested pages, error logs, and similar technical information needed to deliver, secure, and troubleshoot the Site.

The Site uses local browser storage to remember whether you selected the Warm Horizon or Island Ink visual experience. That preference is stored on your device and is not used for advertising.

Communications

If you contact the building office or request a private parking-update link, we process the information needed to respond, confirm the registration, and send the requested message. A one-time parking-update link expires after approximately 30 minutes.

2. How we use information

We use information collected through the Site to:

register residents, guests, owners, and authorized agents;

confirm contact, unit, arrival, departure, authorization, and parking details;

administer building access, parking eligibility, and one-active-plate rules;

issue and reissue QR parking passes and Apple Wallet® passes;

validate a garage credential at the reader during approved dates and times;

allow an authorized person to update a license plate without creating an account;

send registration receipts, parking passes, private update links, operational notices, and administrator alerts;

support emergency planning, life-safety preparation, and response;

detect conflicts, misuse, errors, security events, and technical problems;

maintain appropriate administrative, operational, insurance, dispute, and legal records; and

comply with applicable law and enforce building rules.

3. QR parking credentials and Apple Wallet

When approved parking information and a license plate are provided, the Site may email a unique QR credential. The email may also offer an option to add a pass to Apple Wallet. The pass can display information such as Tradewinds Plaza, unit number, license plate, and approved parking window.

At the garage, the reader sends the scanned credential to the Tradewinds Plaza validation service. The service checks the active registration, plate, parking approval, and permitted dates and times before returning an allow or deny result. The raw QR credential is not written into the garage decision audit log, although the credential remains associated with the registration so the pass can function.

Keep the QR credential and parking-update emails private. Anyone who obtains a copy may attempt to present it, although the server still applies the registration, plate, and time rules.

Adding a pass to Apple Wallet is optional. Apple® may process information on your device under Apple’s own terms and privacy policy. Tradewinds Plaza is not responsible for Apple’s independent services.

4. How we share information

We do not sell or rent personal information, and we do not use registration information for behavioral advertising.

We may disclose information only as reasonably necessary to:

authorized Tradewinds Plaza AOAO board members, building management, employees, or contractors who need it for registration, safety, parking, access, or support;

a unit owner or authorized agent when needed to confirm authority or address a registration issue;

emergency responders or other safety personnel when relevant to an emergency or preparedness purpose;

technology and service providers that host, store, transmit, secure, or support the Site and its communications;

law enforcement, regulators, insurers, legal advisers, or other parties when required by law or reasonably necessary to protect rights, safety, property, or the integrity of building operations; or

another service provider or managing agent if responsibility for operating the Site or building systems changes, subject to appropriate confidentiality and use restrictions.

5. Service providers and data locations

The Site currently relies on services that may include:

IONOS for website hosting and related infrastructure;

WordPress and All in One Forms for the Site and registration workflow;

Google Workspace for authorized registration-record storage and administration;

email and SMTP services for confirmations, private links, QR passes, and administrator notices;

Apple Wallet for an optional device-based parking pass; and

Gate Access AF by MME Prod., validation API, and gate-control integration.

These providers may process information on our behalf according to their own terms and our configuration of their services. Registration sheets and administrative records should be kept private and shared only with authorized personnel and necessary service accounts.

6. Cookies and local storage

The Site may use cookies or similar storage that WordPress, security tools, forms, or administrators require for essential functions. The visual theme preference uses local browser storage as described above. We do not use that preference for cross-site tracking or targeted advertising.

Your browser may allow you to delete or block cookies and local storage. Some Site functions or saved preferences may not work as intended afterward.

7. Retention

We keep personal information only for 60 days or reasonably necessary for the purposes described in this Policy, including active registration and parking administration, building operations, emergency readiness, conflict resolution, security, insurance, recordkeeping, and legal obligations.

Retention may differ by record type. Short-lived update links expire promptly. Active registration, parking, email-delivery, and garage-validation records may be kept for 60 days, longer when needed for operations, an incident, a dispute, enforcement of building rules, or legal compliance. When information is no longer reasonably needed, we may delete, aggregate, or de-identify it, subject to technical limitations and lawful recordkeeping needs.

8. Security

We use reasonable administrative and technical measures appropriate to the Site’s purpose. Measures may include HTTPS, limited administrative access, private service accounts, time-limited one-time links, non-public configuration files, hashed security identifiers, server-side QR validation, and audit records that omit the raw QR credential.

No website, email, device, or storage system is completely secure. Please protect QR passes and private update links, use a trusted device, and notify the building office promptly if you believe information or a pass has been misdirected, copied, or accessed without permission.

9. Your choices and requests

You may contact us to request that we:

confirm whether we maintain registration information about you;

correct inaccurate contact, unit, registration, or parking information;

update a license plate using the Site’s private email-link process;

provide a copy of information reasonably associated with your registration; or

delete information that is no longer needed, when deletion is consistent with building operations, safety, contracts, recordkeeping obligations, and applicable law.

We may need to verify your identity and relationship to the unit before acting on a request. We may also retain information when reasonably necessary for safety, an active registration, a parking or access dispute, fraud prevention, insurance, legal compliance, or the rights of another person.

10. Information about other people

If you submit information about another person, including a household member or emergency contact, you represent that you are authorized to provide it and that you have informed that person as appropriate. Submit only information that is reasonably necessary for the registration, safety, or emergency-contact purpose.

11. Children

The Site is intended to be used by adults responsible for a unit, household, or stay. If information about a minor is included as part of a household or emergency plan, the submitting adult is responsible for providing it lawfully and limiting it to what is reasonably necessary.

12. External links and services

The Site may link to services operated by other organizations. Their privacy practices are governed by their own policies. This Policy does not control independent services merely because the Site links to or interoperates with them.

13. Changes to this Policy

We may update this Policy when the Site, registration process, parking system, service providers, or legal requirements change. The current version will be posted on the Site with an updated date. Material changes may also be communicated through the Site or another reasonable channel.
